Inbox-agent

An inbox that answers itself.

Most of the mail a business gets asks the same questions. The inbox-agent answers them from your own documents, in the customer's language, within seconds, day and night. When it is not sure, a person on your team gets the mail with a draft already written.

  • Answers up to nine in ten typical mails in seconds, from your documents, in your tone
  • Hands the hard one in ten to your team with a draft and the doubts marked
  • Or one inbox per customer: only their domain gets through, only their documents answer
  • Also the reply side of Outreach: answers prospects after your approved first email

Up to nine in ten of the typical mails never reach a person: they are answered, in seconds, from your documents. Only the uncertain ones and the ones that need a human do. When a question goes beyond your documents, the agent does not guess: the mail goes to a person on your team with a draft already written. Nothing to install, nothing to learn: your customers write to the same address as before.

How it works

How the inbox-agent works

  1. 01

    Give it your documents

Point the agent at what your customers ask about: terms, price lists, policies, plus a few example replies so it writes the way your team does. Your customers keep writing to the same address.

  2. 02

    It answers in seconds

Every incoming mail is read, sorted by what the customer wants and answered in the customer's language, in your tone. General questions it answers itself; anything about your terms, prices or agreements comes from your documents. Day and night, also outside office hours.

  3. 03

The hard ones reach a person

When a question goes beyond your documents, a customer is unhappy or the agent is not sure, the mail goes to your team with a draft and the open points marked. Minutes, not a fresh start.

Typical setups

Three ways to run it

Every inbox is set up for one job. What differs is who may write to it and which documents it answers from. In every setup, up to 90% of the typical mail is handled without anyone on your team touching it. Most of our customers start with a customer inbox.

Customer inbox · €100 a month per customer

One inbox per customer, locked to their domain

Give a key customer their own address and give the agent only that customer's material: the agreement, the policies that apply to them, their price list, a few example replies so it writes the way you do. The customer writes as before. General questions it answers from what it knows about your field; anything specific to that customer comes from their documents, and your account manager gets the hard ones with a draft.

Why it is the most secure setup
  • Only their domain gets through. Mail from any other sender is never answered. It is left in place and logged, with no bounce and no reply that would confirm the address exists.
  • Every sender is verified on arrival. The agent trusts the receiving mail server's verdict, DMARC, or SPF or DKIM for that very domain, so a forged From address does not pass.
  • One knowledge set per customer. Each inbox runs as its own isolated service with its own storage and its own credentials. The agent for one customer cannot read another customer's documents.
  • Tighter answers, more handled. A small, exact set of documents gives sharper replies than a general inbox that has to cover everyone, so more mails clear the confidence bar and fewer land on a desk. This setup scores best on quality too.
  • A named person behind it. Complaints, questions beyond the documents and drafts the agent is not sure about go to the handoff address you choose, usually the account manager, with the draft and the doubts marked.
  • A record, not the content. Every mail leaves one line in the log: what was asked, what was answered, what went to a person. The mail itself stays in the inbox.
  • Provisioned, not installed. A new customer takes an address, their sender domain, the documents and a handoff address. A new document is a file upload.

Shared inbox · €200 a month

Your public address

info@, support@, orders@: anyone may write. The agent is set up for your industry, what the business does, what it answers, what always goes to a person. Routine questions are answered in seconds in the customer's language. Complaints and anything outside your documents reach your team with a draft.

Internal assistant · €150 a month

A colleague your staff forward to

Nobody outside writes to it. Your people forward a customer question and get a suggested reply back within seconds, with how sure the agent is. It never writes to the customer: your staff send, in their own name, after a look.

What you get

What you get with the inbox-agent

Up to nine in ten never reach a desk

Up to 90% of the typical questions are answered without anyone on your team touching them. Only the uncertain ones and the ones that need a human do. Every mail is either answered or handed to a person. None is lost.

Never invents

General questions it answers from what it knows about your field. Anything about your terms, prices or agreements comes from your documents, and what they do not cover is said plainly. Complaints always reach a person. Spam, forged senders and automatic replies are ignored.

Your tone, their language

Replies go out in the same thread, from your address and display name, in the language the customer wrote in. Tone, signature and contact details are set once per inbox.

A fixed price, a full record

One price per inbox with mails included, and a record of every mail: what was asked, what was answered, what went to a person.

Part of HAL

Inbox-agent and the rest of HAL

On its own, the inbox-agent needs no Outreach, Saga or HAL account: it answers your customer mail from day one. With Outreach it is the reply side: you approve the first email, and from the first answer the agent handles the conversation and books the meeting. Every reply and every booked meeting is written to Saga.
